How to Map Custom Demographic Values to Data Hub or HUD Values

HomeKeeper added this functionality in version 2.5 based on requests from our participation organizations.

Following 2.5's release, we are working with organizations who've requested this functionality.
We will continue to update these instructions as a result of those conversations.

To access this functionality, your organization must be on HomeKeeper version 2.5 or later.

This functionality will work in either Salesforce Lightning or Classic.

  1. Discuss within your program and communities to decide on the words to use for new custom program values that will track Race, Ethnicity or Primary Language Spoken. Read our blog about why HomeKeeper added these features, and recommendations to plan for use. 
  2. Navigate to the field on the Service File for which your program has decided to add a custom value (Race, Ethnicity or Primary Language Spoken).
  3. Add picklist value and consider to-dos like updating your reports and list views: 
    1. How to Make Sure Picklist Values are Available for Record Types
    2. Write down the new custom value(s) exactly

When you're done with step 3, your custom picklist values will appear in the list for that field. You'll refer to this in step12 of this list, by entering exact text.

  1. Navigate to HomeKeeper App Settings page
  2. Select the settings you want to map to HUD and Hub values under "Custom Demographic Settings in HomeKeeper" (In the future, access HomeKeeper App Settings page to review custom mappings.)

  1. Click the link to manage Custom Metadata Types in Setup to add your custom mapping
  2. Find the HomeKeeper Custom Setting for the field type you are adding in the list and click "Manage Records"
  3. Click "New"
  4. From this page, you can create a custom mapping specific to your use of HomeKeeper, mapping your custom picklist value to available values for HUD and the Data Hub. Reference helptext for tips on saving this setting. These instructions will show HomeKeeper Custom Race Setting as an example, but steps are the same for each custom demographic mapping. 

  1. Enter a meaningful label. You may choose to summarize the mapping: "LatinoToHispanic" 
  2. HomeKeeper Custom Ethnicity Setting Name should fill in automatically based on the Label entered.
  3. In HomeKeeper Race enter the exact text of the new custom value you added this picklist for use in HomeKeeper.
  4. From the list of accepted HUD values, select the HUD Race that your custom value should map to for HUD reporting.
    (Don't report to HUD? HomeKeeper recommends you select "Chose Not to Respond" or choose the same option used for National Data Hub Race .
  5. From the list of available values, select the National Data Hub Race that your custom value should map to in the HomeKeeper National Data Hub. Not enrolled in the National Data Hub? HomeKeeper recommends you select "Chose Not to Respond" or choose the same option used for HUD Race.
